Position: Order Entry Officer
Position Summary
The Order Entry Officer is responsible for ensuring accurate entry and processing of customer orders in the system while supporting the smooth administrative flow of dispatch operations. The role plays a critical part in maintaining system accuracy, documentation compliance, and coordinating truck flow at the plant to ensure timely and efficient product dispatch.
- Accurately capture and process customer orders in the company system.
- Verify order details including product specifications, quantities, delivery details, and customer information.
- Ensure all order entries are correctly reflected in the system to maintain accurate inventory and dispatch planning.
- Monitor and update order status in the system to ensure visibility for relevant departments.
- Support the correction of order entry errors and maintain high levels of data accuracy.
- Support coordination of truck arrivals and departures at the dispatch area.
- Ensure trucks are scheduled and processed efficiently to avoid delays and congestion at the plant.
- Communicate with warehouse, production, and logistics teams to ensure readiness of orders for loading.
- Assist in maintaining orderly truck flow within the facility.
- Prepare and verify dispatch documentation including delivery notes, invoices, and loading documents.
- Ensure all dispatch documentation is complete, accurate, and compliant with company procedures.
- Maintain organized records of orders, dispatch documentation, and transport records.
- Support internal and external audits by ensuring documentation is properly filed and accessible.
- Provide administrative support to the logistics and dispatch team.
- Assist in tracking daily dispatch volumes and order fulfillment.
- Respond to internal queries related to order status or documentation.
- Support continuous improvement initiatives related to order processing and dispatch operations.
- Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- At least 2 years of experience in order processing, logistics coordination, or administrative roles in a manufacturing or distribution environment.
- Experience working with ERP systems is an added advantage.
- Strong attention to detail and accuracy.
- Good organizational and administrative skills.
- Ability to coordinate multiple tasks in a fast-paced environment.
- Strong communication and teamwork skills.
- Basic knowledge of inventory and dispatch processes.
- Proficiency in Microsoft Office applications.
